Corporate Affairs Officer/Executive

Job Description:

  • Responsible for arranging and following up on the Internal Business Meetings involving the C-Suite and the Senior Management.
  • Assist supervisor in organizing and coordinating information and requirements; planning, arranging, and meeting schedules; monitoring results of all meetings.
  • Prepare and distribute meeting notices, agendas, and minutes for meetings.
  • Prepare correspondence, spreadsheets, presentations, etc.
  • Organize with the relevant departments in the preparation of meeting rooms and refreshments for meetings.
  • Assist in organizing and coordinating with the working committee of the Minconsult Staff Gathering.
  • Prepare the yearly corporate calendar.
  • Monitor and track the monthly events in the corporate calendar to ensure PICs complete their action in a timely manner.
  • Prepare the yearly C-suite and Director’s portfolios.
  • Attend meetings as requested.
  • Manage the corporate affairs department’s diary and schedule meetings for the supervisor.
  • Forward plan and effectively prioritize workflow and calendar management for supervisor.
  • Act as the point of contact between the manager and internal/external clients.
  • Communicate and liaise with all divisions and departments.
  • Assist supervisor in management and administration activities as directed.
  • Filing, updating, and maintaining proper documents for the corporate affairs department.
  • Perform any ad-hoc tasks/duties as assigned by the supervisor.
  • Performing other tasks as required by management and the company.

Requirement

    • Possess a recognized degree in Business Studies/ Administration/ Economics/ Finance or a related field.
    • Minimum 1 – 2 years of working experience.
    • Proficient computer skills and experience in preparing spreadsheets and presentations, Microsoft Office 365 (Word, PowerPoint, Outlook, and Excel)
    • Able to work in a fast-paced environment.
    • A mature personality, possess excellent interpersonal and communication, skills both verbal & written with strong consultative and negotiation skills and the ability to communicate effectively at all levels.
    • Ability to write, speak and brief others clearly.
    • Ability to assess and select appropriate communication routes for different messages and audiences.
    • Proactive and resourceful
    • Able to work independently with minimum supervision and under pressure.
    • Ability to work equally well within a team.
    • Ability to remain calm under pressure.
    • A multitasker with the ability to handle pressure, solve tough problems and meet deadlines.
    • Excellent time management and organization skills
    • Completeness, accuracy, and punctuality of reports and other assignments.
