Job Summary: The Corporate Affairs Executive will coordinate internal business meetings for the Minconsult Leadership Team and Senior Management, handle organizational tasks, and support communication within the company. This role requires excellent organizational, communication, and administrative skills to ensure effective management and execution of corporate affairs activities.
Key Responsibilities:
- Meeting Coordination:
- Organize and coordinate meetings such as MLT meetings, Technical Directors meetings, Senior Management meetings, Monthly Management meetings, Business Group Meetings, and Quarterly Technical Review meetings.
- Assist in planning and arranging meetings, monitor outcomes, and ensure follow-up on action items.
- Prepare and distribute meeting notices, agendas, and minutes.
- Take minutes during meetings.
- Documentation and Communication:
- Generate and manage correspondence, spreadsheets, presentations, and other documents.
- Collaborate with relevant departments to prepare meeting rooms and arrange refreshments.
- Assist in organizing and coordinating Minconsult Staff Gatherings.
- Calendar and Event Management:
- Create and manage the yearly corporate calendar.
- Monitor and track monthly events in the corporate calendar.
- Prepare yearly MLT portfolios and track KPIs.
- Administrative Support:
- Manage the corporate affairs department’s diary and schedule meetings for the supervisor.
- Plan ahead, prioritize workflow, and manage the supervisor’s calendar.
- Serve as the point of contact between the manager and internal/external clients.
- Communicate and liaise with all divisions and departments.
- Additional Responsibilities:
- Assist the supervisor with management and administration activities.
- File, update, and maintain documents for the corporate affairs department.
- Perform any ad-hoc tasks/duties assigned by the supervisor.
- Perform other tasks as required by management and the company.
Requirements:
- A recognized degree in Business Studies, Administration, Economics, Finance, or a related field.
- Minimum 1-2 years of working experience in a similar capacity.
- Proficiency in computer skills, including experience with Microsoft Office 365 (Word, PowerPoint, Outlook, Excel).
- Mature personality with excellent interpersonal and communication skills (both verbal and written).
- Strong consultative and negotiation skills, with the ability to communicate effectively at all levels.
- Ability to work independently with minimal supervision and under pressure.
